Saying no, keeping the relationship
Refuse firmly and warmly, and offer another way. Lesson 51 of 58: Negotiation, CEFR C1.
A clear no, warmly
- A good no is clear about the answer and warm about the person. Thank, decline, give a short reason (or none), and keep the door open: “Thank you for the offer. I’m afraid that won’t work for us, because of our budget cycle. Could we look at…?” Vague answers (“Maybe”, “I’ll see”) create false hope and later conflict.
- I appreciate the offer, but I’m afraid we can’t accept it as it stands.
- That’s not something we’re able to do. (Firm and impersonal)
No, but…: offer another way
- Turn a no into a different yes: “I can’t do that, but what I can do is…” “That won’t be possible, however we could…” It keeps the conversation moving and shows goodwill.
- I can’t lower the price, but what I can do is add a year of support.
- We can’t start in May; we could start in June, though.
Holding firm
- When they push again, do not give new reasons (each one is a new thing to argue with). Repeat the same position, calmly, in slightly different words: “As I said, that’s outside what we can do.” This is called the broken record, and it works.
- “No” at the end of a sentence is strong. “I’m not able to” is firm without being personal. Avoid “I can’t, I’m sorry, I really wish, maybe if…”: over-apologising invites more pushing.
- I understand, and my answer is still the same.
- As I mentioned, that’s not something we can offer.
- Tip: A respectful no early is kinder than a reluctant yes you cannot keep.
Lines to have ready
- I’m afraid that won’t work for us. (A firm, polite no)
- What I can do is… (Offering another way)
- I appreciate the offer, but… (Declining with thanks)
- I understand, and my answer is still the same. (Holding firm)
- Let’s see what else we could do. (Keeping the door open)
Your turn to speak
- Say no to three things in ways that keep the relationship: your manager asking for weekend work, a client wanting a discount, and a friend asking to borrow money. Offer another way each time, then hold firm when they push once.
- Each no was clear, not vague
- I offered another way
- I held firm without new excuses
- I stayed warm
