Questions people ask
What should a professional quotation include?
Your business details and the customer's, a quotation number and date, an itemised list with quantities and unit prices, the tax treatment stated explicitly, the total, a validity period, and the payment terms. Anything missing becomes a question, and questions delay acceptance.
Should prices be quoted inclusive or exclusive of GST?
Exclusive is standard for business customers, who reclaim it; inclusive is clearer for consumers, who cannot. Whichever you choose, label it unmistakably — an ambiguous total is the most common cause of a disputed invoice.
How long should a quotation stay valid?
Fifteen to thirty days is usual. Say so on the document. Without a validity period a customer can accept a quote months later, at prices that no longer work, and you have little ground to refuse.
What is the difference between a quotation and an invoice?
A quotation is an offer to supply at stated prices; nothing is owed. An invoice is a demand for payment for goods or services already supplied. Marking a preliminary quote clearly as a draft prevents it being treated as a firm commitment.
